The Institute for Energy Economics and Financial Analysis (IEEFA) is seeking an Institutional Data Manager for a newly created full-time remote role. The successful candidate will be responsible for implementing, developing, and optimizing data systems to ensure organizational efficiencies and success. The primary function of the Institutional Data Manager is to support IEEFA team members in gathering, organizing, and retrieving data related to our mission and outreach.

Key Responsibilities

Manage and coordinate institutional data:

  • Ensure data and information security by developing and upholding security and privacy policies
  • Monitor systems for best practices in data management, including our cloud storage (Box), collaboration (ClickUp), and content management (Drupal) systems
  • Assess institutional needs around data management and provide recommendations for improved systems, workflows, and administration
  • Develop and implement standards for archiving data across systems

Serve as coordinator of data-centric projects at IEEFA:

  • Implement and lead an institutional data management committee
  • Participate in planning and implementation of projects requiring data management and/or analysis

Act as the primary data administrator for our HubSpot CRM:

  • Ensure data integrity and consistency
  • Create and maintain lists, reports, dashboards, and workflows
  • Oversee data imports and assist with data cleanup
  • Troubleshoot issues reported by team members and contacts
  • Monitor data privacy and regulation laws, including GDPR, and ensure compliance in HubSpot outreach projects
  • Liaise with customer support team as issues or special projects require

Act as primary administrator of our Cision database:

  • Liaise with Cision customer support team around issues and configuration changes
  • Set up lists, reports, and dashboards for users in communications and development
  • Work with communications teams to ensure consistent and effective use of the system

Serve as a member of IEEFA’s 4 person IT team, assisting with additional projects as workload and needs evolve

Knowledge, Skills and Abilities Requirements

  • Commitment to sustainable energy and IEEFA’s mission
  • Bachelor’s degree
  • 5+ years of experience as a Data Manager, Data Steward, or similar role
  • CRM management experience
  • Strong understanding of data management best practices and functionality
  • Ability to assess the impact of changes to data configuration and policies on related systems and processes
  • Excellent verbal and written communication skills
  • Strong leadership and project management skills
  • Ability to critically evaluate information gathered from multiple sources, reconcile conflicts, and critically evaluate user requests against underlying data and system needs
  • Ability to work independently, as well as part of a team, on multiple projects
  • Excellent customer service and support skills
  • Strong problem-solving skills, particularly as related to data and software applications

Preferred Qualifications

  • Experience in communications, marketing, or similar relevant field
  • HubSpot experience and HubSpot CRM Administrator certification
  • Working knowledge of HubSpot MarketingHub and SalesHub
  • Experience with Cision or similar media monitoring service
  • Experience working in a global organization, including working with teams across multiple regions
  • Ability to transform complex technical topics into accessible language
  • Experience with Drupal or comparable CMS

Work Schedule: Remote (North America), full-time, 40 hours/week. Due to required collaboration with international teams, schedule will generally be Monday to Friday noon to 8pm US Eastern Time. Morning or weekend hours may be required to accommodate meetings in different time zones.

Reports To: IT Manager

Travel: Some travel will be required, including regional, national, and international trips for IEEFA team meetings.

Physical Demands and Work Environment: The Institutional Data Manager will work remotely.  Must be able to work for prolonged periods at a computer. Computer work can involve repetitive motion, eyestrain, back and neck strain.

Hiring Range: $96,309 - $116,235
